AI receptionist results: booking rates rise from 42% to over 50% after the first month

Aeva AI research. Data: 37,258 patient calls answered by Aeva in the 30 days to July 2026, across 2,100+ practitioners; customer-reported results from 2025 and 2026. Figures last updated July 2026. By Chris Baxter, Co-founder & CEO, Aeva AI.

Clinics in their first month with Aeva convert 42% of callers who try to book. From the second month onward, the rate settles above 50%. Those figures come from Aeva’s analysis of 37,258 calls in the 30 days to July 2026, and they are the first booking benchmark we have published for an AI receptionist. This page sets out what changes after month one, what the higher-converting clinics have in common, and how to measure your own results.

What the first month looks like

Results tend to arrive before the conversion rate has settled. Ben, who runs Essex Coast Physio in Southend with around four practitioners and reception staff already answering the phones, switched Aeva on in 2026. On day one it booked three new patients that would otherwise have slipped past a desk that was supposedly covered. With a customer lifetime value of £750, his words were: “I tripled the return on my investment with Aeva on the first day.”

Ewen, a UK practice owner who had been unsure how patients in a more traditional area would respond, had several patients book through Aeva in his first week. One rang to cancel and was guided to reschedule instead. “You’d think people would drop off when they realise they’re talking to AI,” he said. “But they don’t.”

Setup no longer holds this up. When Aeva started, a new clinic took two to four weeks to go live. By November 2025 it was within an hour, and as of July 2026 setup is self-serve, takes about an hour, and most clinics take their first AI-answered call the same day.

What changes after month one

Aeva has not yet published why the rate rises after the first month. In June 2026 it reviewed its top-performing clinics, the ones turning more than 30% of their otherwise-missed calls into booked patients, and began tracking the settings, scripts and small choices that separate a good result from a great one. What the busiest and best-performing clinics have in common so far, from Aeva’s onboarding experience:

• A short appointment menu. The clinics that stay consistently booked typically offer two to five appointment types. Fewer choices means fewer questions before a slot is offered.

• Booking scripts built from the real appointment list. Aeva’s setup agent reads the clinic’s appointment types and generates the questions and logic needed to book the right one with the right practitioner, doing about 90% of the work. The clinic refines the rest.

• A full knowledge base. More than 150 tailored questions and answers can be preloaded, on top of what Aeva pulls from the clinic website at setup. A question Aeva cannot answer becomes a priority message for the team rather than a guess.

• A cancellation policy with an alternative. One clinic’s AI receptionist offers telehealth instead of a late cancellation, keeping the booking and the fee.

• Deposits. Clinics tell us collecting a deposit is the single most effective way to cut no-shows. Aeva reserves the slot pending payment and sends a Stripe link after the call.

• Aeva as the first point of contact. Bryce made Aeva the first answer on every call. Five months later his appointment book was consistently full and his full-time reception role had shrunk to about an hour of admin a day.

Where the ceiling is

Even above 50%, roughly half of the callers who want to book leave without an appointment, and over 40% of those losses are down to availability: nothing soon enough, no time that suits, or the preferred practitioner full. The most requested timeframe is “today”. An answered phone converts what the diary allows; past that point the fix is the diary, not the receptionist.

How to measure your own results

Take four numbers before you switch anything on, then again at the end of month one and month three:

1. Inbound calls per month and how many went unanswered, from your phone provider’s log.

2. Bookings from calls that came after hours, at lunch or mid-consult. Aeva records the outcome of every call it answers, so bookings from previously unanswered calls can be counted.

3. New patients booked per week, by source, so phone bookings are not lost inside the total.

4. Hours of admin spent on the phone by the owner and the front desk.

Set expectations by the size of the leak, not the size of the clinic. Solo practitioners with no backup, multi-site groups losing calls to peak-hour volume and staffed desks that still miss mid-consult calls all report results. What predicts them is whether the phone ever goes unanswered.

Common questions

How quickly does an AI receptionist pay for itself?

It depends on the value of a new patient and how many calls you miss. Ben covered his monthly cost several times over with one booking on day one. The framing that won over one clinic owner at the Clinic Mastery Summit in Australia: miss 10 calls over a weekend and you lose 10 opportunities; if even two are new patients, it has paid for itself.
