How clinics choose an AI receptionist
A worked example of the resource template: what the masthead, byline and body slices look like with real copy in them.
Aeva AI

Start with the practice management system
Integration depth is the whole product. A receptionist that can read availability but not write a booking moves the work rather than removing it.
So the first question for any vendor is which PMS actions it performs end to end. Our features page lists what Aeva writes back.
The actions that matter
- Booking a new appointment, not taking a message about one
- Rescheduling without a human touching the calendar
- Cancelling, and freeing the slot for the waitlist
We stopped asking whether it could answer. We started asking what it could finish.
What to compare
Booking depth
Can it book, reschedule and cancel directly, or only take a message for a human to action later?
Call handling
What happens at 2am, during an outage, or when the caller asks something outside the script?
Data residency
Where patient details are processed and stored, and which sub-processors touch them.
What clinics see

The claim | What to verify |
|---|---|
Books directly into your PMS | Ask for a live booking in a sandbox clinic, end to end |
Handles after-hours calls | Call the demo line at 2am and book something |
Ask for the failure modes
Every vendor will demo the happy path. The useful question is what the system does when the PMS returns a 429, when a caller gives a name that matches two patients, or when a booking half-completes.
Ask every vendor these
- Which PMS actions complete without a human?
- What happens when the PMS returns a 429?
- Where is patient data processed, and by whom?
